For real estate agency owners

What to automate in a real estate agency: 7 processes and how to do the math

Below are the processes AI takes over today, with a way to estimate the return — and an honest note where automation will not help. The formulas are simple: plug in your own numbers and you have an answer in five minutes.

1. First reply to an inquiry (the most expensive process)

An inquiry left unanswered for an hour usually goes to the agency next door: buyers message several firms at once. At night and on weekends nobody answers at all — and that is half of every day.

How to price the loss:
monthly inquiries × share arriving outside working hours × conversion to deal × average commission.
Example: 200 inquiries × 35 % outside hours = 70; at 3 % conversion that is 2 deals a month. Even one retained deal usually covers a year of automation.

What automation does: replies within the first minute, around the clock, qualifies budget, area and timeline, and hands the agent a filled card. It does not sell — it holds and warms the lead until morning.

2. Listing descriptions

Written by hand, in as many styles as you have agents, at roughly a day per twenty listings. A pipeline writes the description from parameters and photos in seconds, in one agency voice, and does not copy anyone else's text — portals penalise that.

3. Multi-portal publishing

If you list on 5–20 portals, every description gets rewritten for every format. Pure mechanics: one source, many formats.

4. Answering routine questions

Mortgages, residency, taxes, closing documents — 80 % of questions repeat. A bot answers from your knowledge base and escalates everything outside it to a human.

5. Owner reports (rentals and property management)

A monthly per-property summary — income, arrears, maintenance requests — assembles itself and reaches the owner on schedule.

6. Deal reminders

Deposit deadlines, documents, registration dates: reminders to client and agent on the deal calendar, so nothing dies of "we forgot to call".

7. Inbox triage

Sorting, extracting data into a spreadsheet, drafting replies. It works as a filter in front of a human, not instead of one.

What automation will NOT do

It will not run a viewing, negotiate in person, or replace trust in a specific agent. It will not fix a weak lead flow: if there are no inquiries, there is nothing to speed up — traffic comes first. And it will not save you if agents ignore calls during the day: a bot answering at night only makes the contrast louder.

The order is always the same: take ONE process, measure "before", build it, measure "after". Without the "before" number, any result is a matter of belief.
